Compliance Officer

a. Job Responsibilities:

  • Responsible for handling complaints and allegations concerning major violations of the Code of Ethics, Breastfeeding USA policies, complaints against the board, or any alleged unlawful practices in accordance with the Whistleblower Policy.
  • Develops process by which individuals can initiate a Whistleblower complaint and prepares documentation to support the process.
  • Reviews Whistleblower complaints, determines eligibility for complaint review, and communicates decision to the requestor and other relevant individuals.
  • Investigates eligible Whistleblower complaints, documents all discussions and findings, and makes recommendations for follow up action for resolution as appropriate.
  • Communicates findings and recommendations to requestor, Board of Directors, and other relevant individuals.
  • Maintains documentation of all Whistleblower Complaint requests and investigations for at least two years.
  • Advises the Board of Directors as appropriate on issues concerning the Code of Ethics, Policy and Procedures Manual, and other areas that are relevant to possible Whistleblower complaints.
  • Prepares an annual report to the board summarizing compliance activity.

b. Job Requirements:

  • Is not a current member of the Board of Directors and has not served on the Board of Directors during the previous two years
  • Is not a member of the Volunteer Support Committee with responsibility for monitoring compliance with Breastfeeding Counselor/Volunteer Requirements
  • Is not a member of the Grievance Committee
  • Communicates effectively, including in difficult conversations
  • Competent usage of conflict resolution techniques

Ethics Advisor

a. Job Responsibilities:

  • Responsible for handling intra-organization concerns and conflicts between volunteers.
  • Reviews complaints, determines eligibility for complaint review, and communicates decision to the requestor and other relevant individuals.
  • Investigates eligible complaints, documents all discussions and findings, and makes recommendations for follow up action for resolution as appropriate.
  • Consults within the Ethics Committee when needed.
  • Communicates findings and recommendations to requestor, Board of Directors (as needed), Compliance Officer, and other relevant individuals.
  • Maintains documentation of all complaint requests and investigations for at least three years.
  • Prepares and reports on activities upon request from Ethics chair, maintaining confidentiality of any parties involved in closed or ongoing disputes.
  • If Ethics Advisor is a member of another workgroup in need of conflict resolution, she may recuse herself from personal involvement in providing that assistance.
  • Acts as a consultant to volunteers seeking guidance on interpreting the Code of Ethics, conflict of interest policy, or scope of work for BCs.
  • Willing to consult with a workgroup manager needing guidance with a difficult volunteer situation.
  • Willing to consult with or advise a volunteer experiencing an unsatisfactory volunteer relationship.
  • Periodically reviews process by which individuals can initiate a complaint and prepares documentation to support the process during a dispute.

b. Job Requirements:

  • Listens with compassion and without judgment, with a desire to seek understanding through listening and dialogue.
  • Communicates in a timely manner.
  • Is not a current member of the Board of Directors
  • Is not a member of the Grievance Committee
